Privacy Policy

This policy explains what personal data Zentivion collects, why, who helps us process it, how long we keep it and what you can ask us to do with it.

1. Who is responsible

The data controller is IntelliFlow Applications, LLC, 30 N Gould St, Ste N, Sheridan, WY 82801, USA. Contact: info@zentivion.com.

2. What we collect

• Account details: your email address and name, from the sign-in provider you choose (email code, Google or LinkedIn).
• What you upload: CVs, job postings or links, and your answers to the crew's questions.
• What we build from it: your Career Vault (a structured record of your roles, results and skills, with quotes from your CV), and the packages the crew writes for you.
• Billing: your plan, its status and Stripe identifiers. Stripe handles card details; we never see or store your full card number.
• Emails we send: a record of service emails (for example, the trial-ending reminder) so we don't send them twice.
• Technical and security data: IP address, browser details, request logs and error reports, used to run the Service, keep it secure, limit free X-Rays per connection and prevent abuse.
• Analytics, only if you accept: Google Analytics measures which pages are visited, time on page and steps such as starting an X-Ray, signing up or starting a trial. If you decline, Google Analytics sets no cookies and receives only cookieless, aggregate signals.

3. Why we use it (and the legal basis)

We don't sell your personal data, don't use it for advertising, and don't use your documents to train AI models.

4. AI processing

Your CV and job postings are processed by AI models we run in our own Microsoft Azure AI Foundry account. Microsoft processes this data on our behalf under its data protection terms and does not use it to train its models.

5. Who processes data for us

• Microsoft Azure (USA): hosting, databases, file storage, AI models, sign-in (Microsoft Entra External ID), service email (Azure Communication Services) and monitoring (Application Insights).
• Stripe (USA): payments and invoices.
• Google (USA): Google Analytics, only with your consent; and Google sign-in if you choose it.
• LinkedIn (USA/Ireland): sign-in, only if you choose it.

6. How long we keep it

• CV X-Ray files are deleted after 24 hours.
• Your Career Vault, uploads and packages are kept while your account is active. Email us to delete your Career Vault or your whole account; we delete your content and account details within 30 days.
• Payment and invoice records may be kept for up to 7 years for tax and legal reasons.
• Logs and monitoring data are kept for up to 60 days.
• Analytics data is kept by Google Analytics for the retention period we set, no longer than 14 months.

7. International transfers

Zentivion runs in the United States. If you're in the EEA, the UK or Switzerland, transfers are covered by the European Commission's Standard Contractual Clauses (and their UK equivalent) in our providers' data processing terms.

8. Security

Data is encrypted in transit (TLS) and at rest. Our services use managed identities instead of stored passwords where possible, access is limited to what each part needs, and payment data stays with Stripe (PCI DSS Level 1).

9. Your rights

Depending on where you live (including the EEA, the UK and US states such as California), you can ask to access, correct, delete or export your data, to restrict or object to processing, and to withdraw consent at any time — for analytics, use Cookie settings in the site footer. Email info@zentivion.com; we reply within 30 days. You can also complain to your local data protection authority.

10. Children

Zentivion is not meant for anyone under 16, and we don't knowingly collect their data. If we learn we have, we delete it.

11. Changes

If we change this policy in a material way, we'll tell you by email or in the app before the change takes effect.
